The Hollingworth Preschool at Teachers College, Columbia University is seeking an Office Support staff member to join our faculty. Hours: Monday through Friday from 8:30 - 1:30, and on Mondays from 3:10 - 4:00. This position will include training and continuous guidance from the director.

Job Summary/Basic Function:
CHARACTERISTIC DUTIES AND RESPONSIBILITIES:

Office Tasks:

  • Assist the Preschool Director with implementing all aspects of the program including classroom supervision support when needed
  • Demonstrate and maintain a professional, positive and respectful attitude towards members of the preschool and Teachers College community, all delegates and visitors
  • Respond to inquiries from a wide variety of internal and external parties
  • Answer emails and phone calls according to the protocols established by the director
  • Run errands on campus and act as a liaison to different departments at Teachers College
  • Assists preschool director with all administrative functions
  • Maintain revenue and expense records
  • Secure rooms as needed through Room Assignments
  • Place request for tasks and work orders to Facilities

Faculty Professional Development and Training:

  • Support the preschool director with development of training workshops and conferences for partner schools and programs
  • Support the director with facilitating the onboarding of new teachers and ensures all certification for mandatory courses and medical records are in secure online files
  • Maintain all teacher records; follow up with teachers if any records are missing, ensure deadlines are met
  • Support teachers with developing independent inquiry projects for professional development

Maintaining Children’s Files:

  • Collects all mandatory records for each student, communicate with parents when a child's file is incomplete, ensure deadlines are met
  • Establishes and updates electronic record keeping for all student and teachers records
  • Works with the preschool director to ensure that all Early Childhood Department of Health policies and protocols are accurately implemented in the program design and record maintenance

Communication and Documentation:

  • Maintain ongoing communication with all stakeholders in the Hollingworth Center community
  • Maintains the digital archives for the preschool library
  • Coordinates Tasks with Units at Teachers College

Admissions and Exmissions:

  • Set up and update electronic records for all new applicants to Hollingworth preschool
  • Ensure records are complete
  • Contact prospective and current parents as needed
  • Set up and update electronic records for all Hollingworth students applying to kindergarten; Ensure records are complete
  • Contact parents as needed
  • Work with the director on additional components
  • Support during open house events; attend school workshops

Supplies:

  • Keeps office organized and tidy at all times
  • Maintains inventory of supplies and materials, replenish supplies as needed with approval from director
  • Order supplies via Unimarket
  • ChromeRiver

Preferred Qualifications:

  • Ability to begin as soon as possible; commitment to the duration of the position 
    Monday through Friday, 8:30 - 1:30; Mondays from 3:10 - 4:00

Salary Range:

$25.00 - $25.00
