Posting Summary:

The Senior Administration Manager will support the Director of the Office of Teacher Education (OTE) in the management of all office and program administration. This will include hiring and reappointing staff, processing reimbursements, procurement, scholarship allocations and other day-to-day logistical operations of the Office of Teacher Education. This individual will play a key team role within the Office of Teacher Education and will work closely with staff across the office.

Job Summary/Basic Function:

Reporting to the Director of the Office of Teacher Education, the Senior Administration Manager will support the management of all of all office and program administration. This will include hiring and reappointing staff, processing reimbursements, procurement, scholarship allocations and other day-to-day logistical operations of the Office of Teacher Education. This individual will play a key team role within the Office of Teacher Education and will work closely with staff across the office.

Budget Management and salary and payment processing:

● Support the Director in the management of all Office of Teacher Education budgets, including operating, gift and grant budgets. This includes tracking spending and transferring funds to cover expenses;
● Hire all new part-time staff via PageUp, TC’s hiring platform. This includes Student Teacher Supervisors, Residency Supervisors, Peace Corps Fellows Program Mentors, Induction Mentors, Work Study Students, Interim Employees and Graduate Research Assistants;
● Collaborate with Office of Teacher Education Secretary, Peace Corps Fellows Director, Associate Director specializing in Field-Based Support Services and Teaching Residents at Teachers College (TR@TC) staff on the reappointment of part-time staff;
● Process all reimbursements in TC’s ChromeRiver platform. Includes troubleshooting with users and verifying and tracking expenses. Involves collaboration with staff across the Office of Teacher Education and field-based employees;
● Work with Secretary and other OTE staff on procurement using TC’s e-procurement system, Unimarket. Process honoraria and contracts for OTE programming. This includes managing the office water order;
● Manage the Check Investigation process for missing reimbursement and salary checks;
● Reconcile PCard expenses (credit card used for office expenses);

Grant Reporting and budget development:

● Assist the Director with budget items in grant reports;
● Support the development of new grant applications including creating budgets for all grants and gifts;

Scholarship allocations and service agreement monitoring:

● Award all Office of Teacher Education related scholarships (TR@TC, Peace Corps Fellows Program, Teacher Opportunity Corps II);
● Track Abby O’Neill Fellows to ensure that student service agreements are met. This is the second iteration of the Abby O’Neill Fellowship and we are tracking graduates from cohorts 2018 to present;

Reception schedule and office space management:

● Manage the reception staffing schedule to ensure that reception is staffed during OTE in-office hours of operation;
● Troubleshoot phone, copier and facilities issues within the office and submit work orders as needed;
● Other duties as needed.

Minimum Qualifications:

● Bachelor’s Degree
● Excellent attention to detail
● Experience with budgets
● Ability to quickly learn new software and processes
● Excellent communication skills and problem solving skills
● Team player
● Adept at Word and Excel and the google suite and able to create new spreadsheets to develop new budgets

Preferred Qualifications:

● Federal and New York State grant experience
● Higher Education experience

Salary Range:

$65,000 - $70,497
