Clinic Secretary in New York
Represent the Clinic and Program by receiving clients and visitors in a professional and friendly manner; Answering telephone calls; delivering telephone messages efficiently to and from clients and other professionals; Replying to telephone and e-mail messages in a timely, professional and friendly manner; Communicate with the general public when inquiries are submitted regarding clinical services; In collaboration with Diagnostic Coordinator, scheduling of new client evaluations, including the collection of intake forms, creation of charts for new clients, and provide any information regarding the diagnostic appointment; Maintain scheduling of clients, clinicians, and students for both evaluation and treatment; Create Clinic schedule of clients, based on assignments per student/supervisor; Complete direct client billing; monitoring accounts receivables, and initiating payment reminders; Maintain client charts and student charts; Maintain client and student confidence and protects operations by keeping all information confidential per federal and state guidelines (e.g, HIPAA, FERPA); Assist the Clinic Director with written communication to clients, students, off-campus supervisors, and off-site facilities; Maintain communication with outside departments (e.g., facilities, CIS) as needed for efficient operation of the Clinic; Assist with the maintenance of the Clinic and student room (e.g., cleanliness, neatness, room organization); Maintain office supplies and inventory by checking stock; anticipating needs; placing and expediting orders; and verifying receipt; Maintain accurate records of revenues and expenses of Clinic’s transactions; Receive and distributes Clinic mail on a daily basis; Attend meetings and records meeting minutes as needed; Willingness to attend workshops and training to keep up to date with changes in regulations and policies;
