The Communication Sciences and Disorders (CSD) Program within the Department of Biobehavioral Sciences at Teachers College, Columbia University is seeking a highly organized, self-directed Program Manager who has strong business and personnel management skills.

BASIC FUNCTION:
The Program Manager will be responsible for all aspects of program operations including fiscal oversight, admissions, alumni relations, marketing, and events planning. The incumbent will be the main point-of-contact for students for program-related questions and supervises a part-time staff of 2-4 employees. This full-time position reports to the CSD Program Director and Director of Academic Administration (DAA) for the Biobehavioral Sciences Department.

CHARACTERISTIC DUTIES AND RESPONSIBILITIES:

Program Administration/Staff Supervision

  • Work with the Program Director to develop and execute academic policies
  • Develop, execute, and provide year-over-year analysis of survey data
  • Develop and maintain a database on programs, student cohorts, and alumni
  • Ensure that student files are complete and up to date
  • Manage semester course schedule
  • Oversee student outreach and communication; respond to student concerns and question
  • Provide registration support
  • Manage program website and social media sites (i.e., Facebook, Twitter, LinkedIn)
  • Liaise with Department, Provost's, Vice Provost's, Registrar’s, Controller's, and Financial Aid Offices
  • Supervise and manage PT staff (Program Associate, Social Media Coordinator, and other project coordinators)
  • Recruit, hire and train new staff
  • Process payroll for part-time adjuncts/instructors and manage onboarding for new faculty
  • Maintain prospective student database and meet with individual prospective students as needed
  • Assist with alumni relations and communications
  • Assist with preparation, record-keeping, and review for accreditation reports and site visits

Financial Management

  • Work with Program Director and DAA on annual strategic planning for program budget
  • Maintain a transparent, comprehensive system to collect, track and report on program expenses
  • Manage program budget with quarterly updates and end of year projections to ensure a balanced budget
  • Submit monthly CSD YTD expense reports to the Director of Academic Administration
  • Reconcile budget expenses in Banner
  • Prepare materials for program budget planning, reporting, and analysis
  • Consult with program faculty and staff on needs and limitations
  • Assist in seeking external resources for scholarship funding including grants and donations.

Admissions/Recruitment:

  • Host regular admissions info webinars
  • Manage program’s spring admissions process and retention efforts]
  • Participate in the review of program applications
  • Monitor admissions process
  • Follow-up on additional information requests
  • Communicate with prospective students throughout the admissions process
  • Work with Program Director, Admissions Committee, Department and College to set and achieve enrollment targets
  • Analyze enrollment data and trends
  • Liaise with Admissions Office
  • Advise program and department on recruitment strategies including the production of marketing materials, and supervision of mailing lists and publications distribution
  • Supervise the design, production, and distribution of program publications for recruitment including brochures, flyers, and advertisements
  • Conduct market research; determine optimal opportunities for advertising placements
  • Attend recruiting events and conferences

Financial Aid:

  • Liaise with Financial Aid office on the coordination of scholarships for incoming and continuing students
  • Work with the Program Director to determine scholarship awards for continuing students and maintain a scholarship tracker for accepted and continuing students

Events & Special Projects:

  • Manage preparations for program orientations and events
  • Organize special events, including orientations, lecture series, Brown Bags, Town Halls, and student events
  • Prepare ad-hoc materials and special projects for Program Director
  • Assist in the production of the program newsletter, including writing articles and research as needed

 

Office Management

  • Ensure efficient use of program space including staff and faculty offices, and common areas for students and work studies
  • Maintain equipment inventory and make recommendations on equipment upgrade

Other duties as assigned

Minimum Qualifications:

  • Bachelor's degree or the equivalent in education, training, and experience
  • A minimum of 2 years managerial, supervisory experience
  • Excellent interpersonal skills
  • Experience with budget management
  • Excellent writing, communication, interpersonal, and customer focus skills
  • Detail-oriented, skilled multi-tasker with team player approach
  • Proven ability to take initiative, prioritize, and meet deadlines
  • Proven ability to problem-solve and obtain results
  • Proven judgment and ability to work independently
  • Strong computer skills Proficiency with Microsoft Office, Google Suite, as well as the ability to use web-based technology; social media, and content creation platforms (e.g., WordPress, Canvas, Photoshop, Illustrator)
  • Excellent library and internet research skills.
  • Must be able to work well independently with little to no supervision

Preferred Qualifications:

  • Familiarity with the field of Communication Sciences and Disorders
  • Higher education administration experience
  • Knowledge of Teachers College procedures and systems (e.g., BANNER, NOLIJ).
  • Experience with website development and maintenance.
  • Experience using social media and web-based outreach (i.e., Facebook, Twitter, LinkedIn, Doodle, SurveyMonkey)
  • Highly organized and entrepreneurial
